Located in London’s Mayfair and overlooking Green Park, the Royal Air Force Club offers first class facilities and a ‘home from home' to its 24,000 members, predominantly serving and former officers of the RAF and Allied Air Forces and their families. Having first opened its doors in 1922, and celebrated its centenary in 2018, the Club is full of history and character. With 110 bedrooms and 10 meeting and banqueting rooms, the Club is a truly hidden gem with modern and elegant interior and facilities. 

Role:
We are looking to recruit a friendly, focused and diligent Membership Executive to support the Membership team with the administration of the Club’s membership. Reporting to the Membership Manager, this person should be an organised, pro-active individual with superb written and communication skills, excellent customer service and good financial acumen. 

This is an exceptional opportunity to be involved with a prestigious and historic private members’ Club.
Hours of Work:
Mostly 8.00am - 4.30pm however some evening work required / 30 minutes for lunch.
Weekday Evening Lobby Duty on a rotational basis 5.00pm-7.00pm (approx. once every 2 weeks) 
in addition to normal duties

Key Relationships: Membership ManagerHead of Membership & Communications, Executive Team, Membership Committee, Front Desk Team and Club Members

Key Tasks & Responsibilities:

  • Answering member queries in person, via telephone, email, written correspondence and the Club’s website.
  • To assist with membership applications - sending out of application forms to prospective members, checking applications on return, printing and sending out of membership cards, welcome packs and other standard letters.
  • All administrative aspects of membership; inputting new members details onto the membership database, dealing with resignations, transfers from serving to former-serving, filing, correspondence etc.
  • Assisting with the annual membership renewal process, and processing of membership fees.
  • Website Content Management
  • Conduct tours of the Club for prospective members.
  • Sending out letter of introduction to members for use when visiting clubs with which we have reciprocal arrangements.
  • To become the member point of contact for website enquiries relating to login/personal profiles, liaising with website management company, logging in issues, etc.
  • To support with membership related Club events (25/50/60 Year Receptions/Lunches, New Members Receptions) ensuring an exceptional member experience.
  • Assisting the Membership Manager with quarterly RAF College Cranwell visits, maintaining the high joining rate for newly graduated officers
  • Club Shop support, daily post duties & filing
  • Ensure all Club rules and policies are adhered to and maintain high customer service standards at all times.
  • Perform other ad-hoc membership-related duties as required. 
  • Stationery orders for other departments

Key Skills and Experience:

The ideal candidate will meet the following requirements:

  • Personable, friendly with an interest in hospitality & membership.
  • Smart and well-presented team player.
  • Exceptional command of the English language (verbal and written) and attention to detail
  • Previous experience of working in a membership/administration role. 
  • Good working knowledge of Microsoft Office; Word, Excel, Outlook
  • Good working knowledge of membership databases (ideally Concept) & CRM systems
  • Ability to work unsupervised, using own initiative and manage own work schedule.

Desirable Skills and Experience:

  • A working knowledge of Opera Cloud
  • Experience of using website CMS programs 
  • Confident with database use and manipulation of data & reporting
  • Previous experience of working in a private members’ club or hospitality environment 

This role profile is not exhaustive and is subject to review in conjunction with the post holder and according to future changes within the Club.

As is the nature of hospitality & events, the role will occasionally include some out of office hours/weekend duties.

    Maintenance Supervisor

    Teo began working at the club in housekeeping and soon moved into the maintenance team in 2002. His day begins at 6.30am where he completes a check of the building, checking all the lights in the club before reporting to reception to see if there have been any problems overnight in the bedrooms. Although it is an eight-hour-day the job offers variety and there is always something different going on.

    Senior Receptionist

    Elias began at the club in 2003 as a steward in the Drawing Rooms before moving to reception in 2008, working in a team of five during the day and evening. Elias likes the friendliness of members towards staff. I have done everything from first aid to security work with high-spirited members and guests. I think you can teach certain skills, but experience is the key to learning great customer service.

    Housekeeping - Linen Keeper

    Adam’s first job at the club was as porter in the Front Hall, after a year he moved to housekeeping and a more physical role as linen keeper.  Adam has grown to be an admirer of the club system. “I like the club because there is no owner,” he says. “All the members are the owners. “My colleagues here are like my family.”

    Front Hall - Senior Porter

    Karim has worked at the club since 2003 and is one of the first faces members and their guests see as they enter. I like it that the staff of the club are so helpful with members and guests, and reciprocal members,” he adds. “We have a very good reputation. People who come here often tell me they have recommended the club to their friends. People love the atmosphere… we build up relationships with them. It is more like a family”.

    Raj joined the Victory Services Club in 2014 as a Reception Supervisor and is now the Front Office Manager. I've had an incredible journey working for the VSC. I started as a reception supervisor and only planned to work for the Club for six months because I wanted to go on sabbatical leave and pursue my MBA. However, I enjoyed working here so much that I made a significant decision to continue to be part of the team.

    Kamil started at the Garrick Club in 2017 as a Maintenance Assistant and was promoted to Maintenance Manager during the Covid-19 pandemic. I come from a hotel background, so the work is similar, but the atmosphere is far more pleasant and the Members really take care of the staff. The ALC also shows great support for staff. I recently attended an event with staff from other Clubs in the same role as me and we got to enjoy a tour of two other Clubs which were undergoing some work. It was really interesting and it was great to meet people in similar roles. We now have a network group we can contact each other for help with suppliers and so on.
